Micromold Time Clock — Privacy Notice

Who this applies to

Micromold Time Clock is a private application provided by Micromold Products, Inc. for use by Micromold employees on Company-owned iPad kiosks located at Company facilities. It is not available for public download and is distributed only to Micromold-managed devices.

This notice explains what information the app collects, why it is collected, and how it is handled. It covers the Time Clock app only. Micromold's general website privacy policy is available at micromold.com/privacy-policy.

What the app collects

Location. When you punch in or out, the app reads the device's location and records the latitude and longitude with the punch. This is used to confirm that punches are made at a Micromold facility. Location is read only at the moment of a punch — the app does not request or use background location and does not track device location at any other time.

Photograph. The app captures a still photograph using the device's front-facing camera at the time of a punch. The photograph is attached to the punch record and is used to confirm that the punch was made by the employee it is recorded for. The app does not perform facial recognition and does not analyze, match, or measure any facial characteristics.

Employee identity. Punch records include your employee identifier and, in some records, your name.

PIN. Employees enter a numeric PIN to punch. PINs are stored as cryptographic hashes and are used only to verify identity at the kiosk.

Device information. Each kiosk is identified by a device identifier so the Company can tell which kiosk recorded a punch.

Kiosk operator sign-in. The Micromold work email address of the person who signs the kiosk in is recorded with the kiosk session.

Diagnostic data. If the app crashes or encounters an error, technical diagnostic information — including crash reports and performance measurements — is sent to a third-party error-monitoring service so the Company can identify and fix problems. These reports may include your employee identifier.

Why it is collected

All of the information above is collected for one purpose: to operate the timekeeping system. Specifically, to record hours worked, verify who made each punch and where it was made, produce accurate payroll and attendance records, and keep the app working correctly.

The app does not use any of this information for advertising or marketing. It does not track you across other apps or websites. It contains no advertising software. It does not sell or share your information with data brokers.

Who it is shared with

Information collected by the app is stored on Micromold's systems and is accessible to authorized Micromold personnel with a business need — payroll, human resources, and management.

The app uses two service providers that process data on Micromold's behalf: Google (Firebase), which provides authentication, data storage, and file storage; and Sentry, which provides error and crash monitoring. These providers process information under contract for Micromold and are not permitted to use it for their own purposes.

Micromold may disclose records where required by law, or where necessary to respond to a legal claim or government request.

How long it is kept

Punch records, including recorded location, are payroll records and are retained in accordance with applicable wage-and-hour recordkeeping requirements and Micromold's records retention practices.

Punch photographs are retained only as long as necessary for punch verification and payroll review purposes.

Diagnostic and crash data is retained on a short-term basis by the error-monitoring service and is used only for troubleshooting.

How it is protected

Information transmitted by the app is encrypted in transit. Access to timekeeping records is limited to authorized personnel. Employee PINs are stored only as cryptographic hashes.

Employment context

Use of the Time Clock app is a condition of timekeeping for hourly employees, in the same way that use of a physical time clock would be. Recording your work time accurately is required by Company policy and, in relevant part, by law.

If you are unable to punch using the app — for example, because of a device problem — notify your supervisor and follow the Company's process for correcting a missed punch.
